Troop 45 Troop Committee Meeting 27 April 2009 The Hanover Boy Scout Troop 45 monthly troop committee meeting was held Monday, 27 April 2009 at the Richard Black Community Center in Hanover. In attendance were Yorke Brown (chairman), Tim Smith (Scoutmaster), Norma Young (treasurer), Roger Thompson (advancement), and Nick Collins (IR). Yorke called the meeting to order at 7:02 pm. The minutes of the meeting of 23 March were approved as distributed. STANDING COMMITTEE AND OFFICER REPORTS Treasurer (Norma Young): Current cash on hand $2,030.88, plus $234.36 on account at the Scout Shop. o Despite the appeal sent out last month for families to remit delinquent registration fees, only two checks have been received so far. o Similarly, only one check for tee shirts has been received. o Frank Roberts submitted the money hey had received from the Nunnemacher outing, but there are still three missing payments. o Nick succeeded in securing a refund of $100 for our camp overpayment last summer. Advancement (Roger Thompson): Yorke reported that he submitted Matt Geason's Eagle application, and Tim reported that Matt's board of review was scheduled for the following day. Scoutmaster (Tim Smith): o Tim has approached MaryLou Robinson about taking on the job of Camp Coordinator. She has responded with tentatively but will make a decision soon. o The Black Mountain outing went off as planned. o We crossed over two Webelos Scouts--Caleb Winberry and George Geraghty--at Pack 45's Blue and Gold Banquet. It appears that we will also be receiving David Stocken from the Norwich pack. Tim will work on coordinating a crossover for Davy. o We've decided not to attend the Spring Camporee. o We will be participating at Greenup Day 2 May. o We will provide a color guard for the Special Olympics 9 May. Institutional Representative (Nick Collins): Nothing of note to report. Chairman (Yorke Brown): o There was nothing of note from the April roundtable. OLD BUSINESS o Tee Shirts. Yorke has notified all those who have received a shirt but have not paid. Since only one check came in as a result, Yorke will send out another round of reminders. The policy for now is that we will only pursue payment for those shirts that have actually been distributed. Nick reported that he has plenty of new cotton shirts on hand. The first shirt is free; additional shirts are $8. He has nine troop neckerchiefs on hand. They cost $15 each. He urged Tim to insist that the Scouts put their names on their neckerchiefs. o Adult Training. Basic leader training is now a nine-hour course. Nick is willing to conduct the course (in multiple sessions, if that's more convenient) provided we can guarantee an enrollment of at least five trainees (not including Tim, Yorke, or Roger!). Tim agreed to discuss a plan with the ASMs. **Action TPS: Develop a training commitment with ASMs. **Action NHC: Conduct the training as appropriate. o Uniforms. Tim is executing his plan to implement the full uniform standard. o Parents Night. Parent's night was held Wed 25 Mar. Shawn Elder conducted the FOS presentation for us. The next Parents Night is Wed, 17 June, at Storrs Pond. The current policy for scheduling Parents Night is that they are held the third Wednesdays of March, June, and October. The March event celebrates all activity from the preceding program year. The June event is inducts new Scouts and looks forward to summer. The October event allows us to award advancements from camp and other summer activities and to report on summer adventures. o Eagle Court of Honor for Steve Desaulniers. Yorke has published a task list for this activity. Invitations have been sent out. Tim is coordinating with the family on color guard, ushers, charge presenter, clergy, and SPL. Nick is inviting VIPs and securing commendations. Yorke is working on program issues. Nick reports that the issue with burning candles in the hall is resolved and that we have permission to use candles. He is providing the props (stashed in his treehouse). **Action All: Follow the plan for the ECoH. o Camp Coordinator. Tim has approached Marylou Robinson about the prospect that she might serve as summer camp coordinator. She will decide soon. o Registration Accounting. Yorke has sent out reminders to all those who are delinquent on registration. Although he received several replies indicating that "the check is in the mail," Norma has received only two checks. Yorke will follow up with another reminder. **Action YJB: Send out another reminder about registration payment. NEW BUSINESS o Camp Registration. Camp registration is overdue. We need to make a reservation and a deposit. Tim estimated that we should be able to recruit about fifteen Scouts to attend camp. Nick agreed to contact the council office and make our camp reservation. **Action NHC: Make camp reservation and pay deposit ($100). o Popcorn. It's time to plan ahead for the fall popcorn sale. We need a "Popcorn Kernel" to coordinate the activity. After some discussion we decided to try to recruit Mary Beth Stocken. Caroline agreed to approach Mary Beth and see if she'd be willing to take on the task. **Action CT: Approach Mary Beth Stocken about serving as Popcorn Kernel. ADJOURNMENT The meeting adjourned at 8:11. Because of the Memorial Day holiday, we agreed to schedule the May meeting a week early. The next meeting is scheduled for Monday, 18 May at 7:00 pm.
